Stay-To-Play Policy

OUR STAY-TO-PLAY COMMITMENT

We understand the concerns raised throughout youth sports about Stay-to-Play policies.

We also believe that how a Stay-to-Play program is structured matters.

Across Cwench Next Gen Series and Rose Series events, we work with our partners with one goal: to provide teams and families with convenient hotel options, flexibility, and competitive rates while keeping tournament entry fees as affordable as possible.

HOTEL RATE COMMITMENT

Through our hotel partnerships, we work to secure competitive group rates for participating families when we contract our event room blocks. While our goal is to provide the lowest available rates, hotel pricing and inventory can fluctuate, and we cannot guarantee that a lower rate won’t become available closer to an event.

In the vast majority of cases, we expect the event group rate to remain the lowest publicly available rate for the applicable room type throughout the booking period. However, hotel pricing and inventory canchange for reasons outside the control of our housing partners, the Cwench Next Gen Series, or the Rose Series.

For example, a hotel may have rooms unexpectedly become available closer to an event because another group, wedding, convention, or room block was canceled. To sell that newly available inventory, the hotel may temporarily offer rooms at a rate below the previously contracted group rate.

If you find the same hotel, room type, and stay dates publicly available at a lower rate than the group rate, please contact our housing partner. Our partners will work with the hotel to try to accommodate thereduced rate; however, we cannot guarantee a rate adjustment.

While no automated system can continuously monitor every hotel’s changing inventory and pricing, we are confident that our contracted group rates are the lowest available option in the overwhelming majority of cases.

Our objective remains simple: provide our families with competitive, transparent hotel pricing while securing the room inventory necessary to support our events properly.

CHOICE AND FLEXIBILITY

We don’t believe Stay-to-Play should leave families without choices.

Our events are designed to provide multiple hotel options at varying price points, locations, and amenity levels so teams can choose what works best for their families.

If a team identifies a hotel that isn’t currently included among the event-approved properties, it can contact our housing partner and request that the property be added to the event’s hotel options.

Teams that prefer to independently arrange their own accommodations also have a disclosed buyout option.

Our objective is not to dictate where a family sleeps. It is to create a housing program that gives teams convenient options while supporting event operations.

WHY WE USE STAY-TO-PLAY

The cost of operating youth hockey tournaments continues to increase, including ice, officials, timekeepers, insurance, staffing, and other event expenses.

Hotel rebates and commissions provide an additional revenue source that helps offset operating costs and allows us to keep tournament entry fees as low as possible.

Because tournament entry fees ultimately flow through to participating families, keeping those fees down matters.

We believe this creates a model that can benefit everyone involved:

OUR COMMITMENT TO FAMILIES

We recognize why Stay-to-Play policies have received increased scrutiny across youth sports. Not every program is structured or operated the same way.

We can only speak for ourselves.

We commit to operating our events transparently, with the teams and families who attend them at the forefront of our decisions.

That means choice.

That means flexibility.

That means multiple properties and price points.

That means you can request additional hotel options.

And most importantly, that means a commitment to competitive hotel rates, transparent pricing, and working with our hotel partners to address concerns when lower rates become available.

Stay-to-Play should make tournament travel easier, not more expensive or unnecessarily restrictive.

That is the standard we expect from our events and our hotel partners.
